Automatic invoice download from online portals
filehub fetches invoices from customer portals and forwards them to your DMS, ERP or accounting—securely, structured and audit-ready.
No logins. No password hunting. No manual downloads.
The challenge
Invoices are no longer delivered by mail. They’re scattered across countless portals—each with its own login, navigation and export logic.
For property managers, this means daily portal hopping, incomplete records and avoidable media breaks between portals, DMS and accounting.
The solution
Connect once. From then on, filehub checks your portals automatically and picks up new invoices in the background.
You define where invoices should go—filehub delivers them there, reliably and on schedule.
1. Connect portals once
2. filehub checks portals automatically
3. New invoices are downloaded
4. Documents are routed to the right system
5. Optional: metadata and accounting export
Tip: In property management, the biggest savings come from recurring portal invoices (energy, telecom, insurance).
All without manual intermediate steps.
filehub connects once to your customer portals, online shops, and service providers. After the initial activation, filehub logs in securely in the background, fetches new invoices, and stores them exactly where you want them — without any manual searches, password lookups, or repeated logins.
Yes. filehub supports common formats such as PDF as well as XRechnung and ZUGFeRD.
No. You provide your access credentials only once during setup. filehub encrypts them securely and uses them strictly for automated retrieval. You never have to re-enter or look up passwords again unless they change on the provider side.
If a portal doesn’t automatically generate invoices (e.g., marketplace sellers), filehub can trigger a retrieval request — or notify you that the invoice must be requested manually. Supported portals also allow filehub to fetch replacement documents once they appear.
Absolutely. You define the target system: DMS, ERP, DATEV, Google Drive, Dropbox, OneDrive, or any other filehub-supported connector. filehub automatically routes each invoice to the correct folder or workflow, including metadata and file naming rules.
filehub performs regular background checks depending on your workflow settings. Typical intervals range from hourly to daily. For high-volume accounts (e.g., Amazon, Telekom, Adobe), you can increase frequency for near-real-time updates.
filehub continuously monitors and updates connector logic. If a provider changes its interface, our team adjusts the connector to ensure uninterrupted automation. You’ll be notified only when user action is required (e.g., new 2FA setup).
Yes. All credentials and documents are encrypted end-to-end, stored in German data centers, and processed according to GDPR and GoBD principles. filehub does not access or store more data than required for automation.
Yes. You can link as many portals as you need — Amazon, Telekom, Vodafone, Deutsche Bahn, eBay, OTTO, and many more. filehub collects invoices from all of them and centralizes them in a consistent, automated workflow.
Often within 15 minutes for the first portal and workflow—without an IT project.
